about Email
mail or message আদান প্রদান এর জায়গায় to, cc, bcc ইত্যাদি ফিল্ডগুলো থাকে এবং সেগুলো ব্যবহার করার সময় সামান্য চিন্তা করা উচিৎ।
এক সাথে অনেককে মেইল পাঠাতে to ফিল্ড এ কমা দিয়ে মেইল এড্রেসগুলো লিখে দিলেই হয়ে যায়, আর এখনতো to ফিল্ড এ টাইপ করতে থাকলে auto complete ফিচার থাকার কারণে মেইল আইডি কাছাকাছি মিলে গেলেই সাজেস্টঁ চলে আসে। কিন্তু ব্যাপার হলো, অনেককে এক সাথে মেইল পাঠানোর জন্য আমরা ধুম করে To or CC ফিল্ডে লিখে দেবো না।
মেইল পাঠানোর আগে ও পরেঃ
To: সবাই সবাইকে দেখতে পারবে এবং রিপ্লাই দিতে পারবে
CC(carbon copy): To এর মতো কিন্তু To তে একজনের মেইল আইডি লিখে বাদ বাকী CC তে লিখা হয়। যেমন আমি ক ব্যক্তিকে মেইল পাঠাচ্ছি আর খ, গ ইত্যাদি ব্যক্তিকে এই মেইল এর ব্যাপারে জানিয়ে রাখছি যেখানে খ, গ এবং ক একে অপরকে চেনেন এবং এই মেইল এর ব্যাপারে তাদের সম্পৃক্ততা আছে
BCC(blind carbon copy): BCC আইডিগুলো To এবং CC আইডিগুলো দেখতে পারবে কিন্তু উল্টাটা হয় না, একাধিক BCC আইডি একে অপরকে দেখতে পারে না।
আসুন একটা উদাহরণ দেখিঃ

কঃ একজন সাধারণ কর্মী
খঃ অন্য একজন সাধারণ কর্মী
গঃ একজন টিম লিড
ঘঃ একজন ম্যানেজার
ঞঃ একজন চিফ টেকনিক্যাল অফিসার
গ(একজন টিম লিড) ঘ(ম্যানেজার) কে মেইল করবে প্রজেক্ট এর স্ট্যাটাস জানিয়ে, তাহলে To ফিল্ডে দেবে ঘ এর মেইল আইডি, আর CC তে দেবে ক এবং খ এর মেইল আইডি। এখন ম্যানেজার যখন রিপ্লাই দেবে, তখন চাইলে রিপ্লাই দেবে reply or reply to all দিতে পারেন কারণ এখানে যাদের মেইল আইডি ব্যবহার করা সবাই সবাইকে চেনে। আবার ম্যানেজার রিপ্লাই দেওয়ার সময় BCC তে চিফ টেকনিক্যাল অফিসার এর আইডি দিতে পারেন। তাহলে ব্যবহার কি হবে ? টিম লিড বা অন্য সাধারণ কর্মী জানবে ম্যানেজার তাদের রিপ্লাই দিয়েছে কিন্তু চিফ টেকনিক্যাল অফিসার যে একই রিপ্লাই পেয়েছে জানবে না। এটা অনেকটা প্রটোকল মেইনটেইন করা এবং cc, bcc এর বাস্তব ব্যবহার।
ধরুন , আপনার বিয়ে, মেইল খুলে সব বন্ধুদের মেইল আইডি To ফিল্ডে দিয়ে জানিয়ে দিলেন, দোস্তারা বিয়ে করছি অমুক দিন, একটা বড় গিফট সাথে করে এসে নির্দিষ্ট দিন এ খেয়ে যাস। ব্যস, সব ফ্রেন্ড মিলে রিপ্লাই টু অল দেয়া শুরু করবে। কিন্তু ধরি ক, খ, গ , ঘ আমার ভালো বন্ধু কিন্তু খ হয়তো ঘ কে চেনেই না। আবার খ হলো একটি মেয়ে বন্ধুর মেইল আইডি যে সহজে কারো সাথে মেইল আইডি শেয়ার করে না। এখন বলুন এভাবে গণ মেইল করা কি ঠিক হলো। উচিৎ সব বন্ধুদের মেইল আইডি BCC তে দিয়ে মেইল করা।
মাঝে মাঝে দেখি অনেক সাইট থেকে বা অনেক বন্ধু দুই ঈদ, দূর্গা পুজা, বছরের বিশেষ জাতীয় দিবসে শুভেচ্ছা বাণী পাঠিয়ে ধন্য করে এক সাথে গণ মেইল করে আর কিছুক্ষণ পর পর আবার কেউ না কেউ সেটার reply to all ঝেড়ে দেয়। হুম, বলতে পারেন তাতে কি হয়েছে। আমার হয়। আমি প্রতিটি মেইল গুরুত্ব সহকারে পড়ি, উত্তর দেওয়ার চেষ্টা করি। কিন্তু যখন কাছের কারো কাছ থেকে এই ধরনের বোকামি দেখি মেজাজ খারাপ হয়ে যায়। শুধু গালিটা দিতে পারি না, কারণ ভালো দেখাবে না।
আজকেই ফেসবুকে শুকান্তি নামে এক বন্ধু মেসেজ দিয়েছে সবাইরে যে, সে ব্যাচেলার লাইফ শেষ করতে যাচ্ছে। ভালো কথা। গণ মেসেজ ফেসবুকের সব বন্ধুদের, তো কোন সমস্যা নাই। ফেসবুকে এ ধরনের ক্ষেত্রে মেসেজের ডান ডিকে 'reply' বাটন থাকে, আর নিচে বড় করে থাকে reply to all. তো, আজকে কিছুক্ষণ পর পর সবাই শুকান্তির মেসেজের জবাব দিচ্ছে "reply to all" চেপে। কারণ, শুকান্তির মূল মেসেজের পাশে যে একটা reply বাটন আছে সেটার দিকে খেয়াল দেবে কে?! এতখানি চিন্তা করার সময় কার আছে!!
অনেকেই এই cc or bcc এর বিষয়গুলো জানেন না, কেউ কেউ জানার ইচ্ছাও কোন দিন পোষণ করেননি, তাই বক বক করলাম। কারণ, কাছের মানুষদের মনে মনে গালি আমি ঠিকই দেই যখন কেউ 'গণমেইল' করে। ইচ্ছা হয় সামনে পেলে যদি চুল ছিঁড়ে দিতে পারতাম, ঘুসি দিয়ে নাক ভচকায় দিতে পারলে কি শান্তি হতো... আহ!
এছাড়াও,
ধরুন, আপনি কাউকে মেইল করেছেন একটা বিষয় নিয়ে। এখন আপনার আবারো সেই বিষয় নিয়ে মেইল করা দরকার। বেশিরভাগ লোক যা করে নতুন করে আবার একটা মেইল করে। মানে সে মেইল রিসিভ করছে তার মেইল বক্সে একই বিষয়ে একই সেন্ডার থেকে দুইটা মেইল। কিন্তু চাইলেই সেন্ডার প্রথম মেইলটা sent item বা sent mails থেকে পেয়ে যেতো আর ওটার রিপ্লাই হিসাবে ২য় মেইলটা দিতে পারো। এখন ইয়াহু, গুগল সবাই একই মেইল এর রিপ্লাই একই মেইল এ(মানে ইনবক্সে একটাই এন্ট্রি থাকে) রাখে থ্রেডেড(পর পর) হিসাবে।
